Eastern Institute for Integrated Learning in Management, Kolkata (“EIILM-Kolkata,” “EIILM,” “we,” “us,” or “our”) operates the EIILM Counselor App (“App”).
The App enables authorized education counselors to manage prospective-student enquiries, counselling activities, admission-related processes, follow-ups, communications and other approved institutional work.
This Privacy Policy explains what information the App collects, how it is used, where it is stored, how long it is retained, when it may be shared and how users may request account or data deletion.
2. Intended Users and Account Control
The App is intended for counselors and other users authorized by EIILM-Kolkata.
Although the App may be downloaded publicly from the App Store, its protected features can be accessed only by users whose email addresses and accounts have been registered and authorized by EIILM.
The App does not provide public self-service account creation. All user accounts are created, approved, managed, suspended, deactivated and deleted by authorized EIILM administrators.
A user’s access may be disabled when:
- The user requests account deletion.
- The user is no longer associated with EIILM.
- The user is no longer authorized to use the App.
- EIILM identifies unauthorized, fraudulent or improper use.
- Account suspension or deletion is required for security, administrative or legal reasons.
Users must keep their login credentials confidential and must not permit another person to use their account.

Location information may be associated with the authorized counselor’s account when required to verify the relevant activity.
The App does not use precise location for:
- Third-party advertising.
- Advertising measurement.
- Advertising profiling.
- Tracking users across apps or websites owned by other companies.
- Sharing with data brokers.
Users can allow or deny location access through the iOS permission request. Permission can subsequently be changed through:

If location access is disabled, location-dependent features may not work correctly. Features that do not require location may continue to remain available.

7.1 Authorized EIILM Personnel
Information may be accessed by authorized EIILM administrators, admission teams, management personnel and employees who require access for legitimate institutional purposes.
Access is restricted based on assigned roles and responsibilities.
7.2 Operational Service Providers
EIILM may engage service providers to support hosting, storage, authentication, notifications, communications, security, technical maintenance and App performance.
Such providers may process information only as necessary to deliver services to EIILM. They are expected to maintain privacy and security protections consistent with this Privacy Policy and applicable requirements.
7.3 Legal and Security Requirements
We may disclose information where reasonably necessary to:

All application data is stored within the Amazon Web Services Asia Pacific (Mumbai) Region in India.
The AWS account and cloud environment used by the App are owned and controlled by the organization. Individual counselors and unauthorized third parties do not control the AWS account or its administrative credentials.
Access to the AWS environment is restricted to authorized organizational and technical personnel who require access for legitimate operational, maintenance or security purposes.
EIILM applies reasonable access controls and security measures intended to prevent unauthorized access, disclosure, alteration or destruction of stored information.
9. Data Retention and Automatic Deletion
Operational data collected through the App is retained for a maximum period of three months from the date on which it is collected or created.
This includes, where applicable:
- Counselor activity records.
- Prospective-student enquiry information.
- Counselling and follow-up records.
- Precise location records.
- Communication records.
- Technical, diagnostic and audit information.
- Uploaded content and supporting documents.
A rolling retention process automatically removes eligible records after the applicable three-month period.
Basic account information required to authenticate an active, organization-authorized user may remain available while the account is active. If an account is deactivated or approved for deletion, its associated personal account information will be scheduled for automatic deletion and removed within a maximum of three months.
Information may be removed earlier when:
- An authorized administrator approves an account-deletion request.
- It is no longer required for the App’s operation.
- It was collected accidentally or without appropriate authorization.
- Earlier removal is required by applicable law.
When the retention period expires, eligible information is automatically deleted or irreversibly anonymized.
10. Consent and User Choices
Where consent is required, the App requests permission before accessing protected device information such as location, camera or photos.
Users may withdraw device permissions through their iPhone settings. Withdrawal will not affect processing that occurred before permission was withdrawn.
If a permission is denied or withdrawn, EIILM will not use the denied device permission. However, the associated App feature may become unavailable.

- After verification and approval, access to the account will be disabled.
- Associated personal account information will be automatically deleted within a maximum of three months.
- Confirmation may be sent to the user’s registered email address.

14. Information Relating to Minors
The App is intended for authorized adult counselors and institutional users. It is not intended for direct use by children.
Counselors may process information relating to prospective students who are minors. Such information must be collected only for legitimate counselling, educational or admission purposes and with any authorization or parental or guardian consent required by applicable law.
Users must not submit information about a minor unless properly authorized.
